II. ORGANIZATIONAL CONTEXT AND SCOPE
Context: Under the overall supervision of Head of Sub Office and the direct supervision of the Procurement and Logistics Officer, the Procurement Assistant will support all aspects of procurement services for the IOM Sub Office in Kasulu. The incumbent will carry out the following duties and responsibilities:

Process purchase requisitions (PR), requests for quote (RFQ) with vendor/s., preparation of bid analysis summaries (BAS) followed by final preparation of purchase order (PO).
Ensure all procurement documents are routed for approval using the IOM authorization matrix as applicable for the mission in the United Republic of Tanzania.
Prepare request for payment (RFP) documents and close purchase orders when all consignment is received; submit RFP copies with supporting documentation to the accounts unit.
On a local level, liaise with customs and revenue officials to facilitate clearance of IOM consignment, as required by the country law.
Keep and update an inventory list and tracking system of all IOM assets in Sub office and set up/streamline procedures to manage and safeguard all assets/supplies in Sub office Kasulu. Take care of disposal of assets according to IOM procedures
Keep all vehicles´ registration documents, taxes and stamps according to laws and regulations in force.
Liaise with IOM Administration in Sub office, Kasulu to ensure that all IOM assets in Kasulu are insured at all times through a reputable Insurance Company under the best terms and conditions. Follow up on any claims that may arise.
Organize maintenance of all office equipment (excluding IT equipment) and security of the Sub Office, Kasulu and guarantee a continued supply of all essential utilities.
Maintain a file for each vehicle including copies of purchase invoice, insurance and other relevant documents.
Undertake IOM Sub office Kasulu clearing & Forwarding assignments. Advise on importation & exportation of any duty‐free commodities and assist International staff in obtaining documents/licenses/exemptions etc. as and when appropriate.
Perform any other related task as requested.

V. EDUCATION AND EXPERIENCE
EDUCATION
Holder of a Secondary School Diploma, with 4 years’ working experience; Or Bachelor’s Degree combined with 2 years working experience in Law (LLB) or related field;
Strong Computer skills especially in Ms Excel, Word and Outlook
EXPERIENCE
Experience in International, Public Procurement or Contracts and Supplier Management is required.
Knowledge of legal aspects of contract management will be an added advantage
Ability to work under pressure and meet deadlines

Position title Project Assistant (Team Leader) (2 positions)
Position grade G3
Duty station Kibondo, United Republic of Tanzania
II. ORGANIZATIONAL CONTEXT AND SCOPE
Context: Under the overall supervision of the Programme Coordinator in Dar es Salaam and the direct supervision of the Emergency Operations Officer in Kibondo, with administrative coordination with the Head of Sub‐office in Kigoma, and in close partnership with the United Nations High Commissioner for Refugees (UNHCR), the selected candidate will be responsible for supporting the implementation of transport operations for the voluntary repatriation of Burundian refugees from refugee camps in Kigoma region to their country of origin.
III. RESPONSIBILITIES AND ACCOUNTABILITIES
Preparing the list of daily operations (OPS) and medical personnel for all IOM transport support operations, as identified from the rotating daily staff roster
Monitor the inventory of OPS supplies eg: ream papers, files, drinking water for refugees etc., and regularly updating bin cards for the OPS items
Coordinating operational manifesting and luggage tagging activities in the camps for all IOM transport support activities
Coordinating with Logistics and Procurement Unit to ensure Service Providers provide timely deployment of buses and trucks where needed, required for the intercamp and cross‐border movements.
Escorting convoys for both intercamp and cross‐border movements as needed.
Preparing PRFs, TEC, and RFP for all activities of the Kibondo office and submit them
to Kigoma Sub‐Office for processing;
Any other duties that may be assigned.

V. EDUCATION AND EXPERIENCE
University degree in Refugee and Migration studies, Law, Sociology, International Relations, Political/Social Science, Economics, or similar fields
Ability to establish and maintain strong working relations with relevant Government and Non Governmental counterparts, international organizations, civil society or private sector entities;
Proficient in Microsoft Windows and Ms Office applications.
One to two years of experience in emergency assistance and/or assisting in emergency movement operations and/or working in an emergency setting;
VI. LANGUAGES
Thorough knowledge of English and Kiswahili is required
Working knowledge of Kirundi and/or French is advantageous
