We are pursuing this vision by putting easy-to-use guidelines for diagnosis and treatment on mobile phones for use by health workers. The symptom-based protocols guide the user through a series of questions leading to an accurate diagnosis and treatment for each patient.

We are seeking an Administrative Assistant based in our Zanzibar office to provide administration support for our programs.  This function roles up to the main finance office in Dar es Salaam and will require close coordination with the Finance Officer based there. We seek a candidate who is motivated and efficient and who can work independently as well as with a multi-cultural team spread across multiple offices. In Zanzibar, among other projects, D-tree is scaling up a maternal and newborn health intervention which involves community based agents using mobile phones to screen pregnant women and babies for danger signs, develop birth plans, and coordinate and pay for transport using mobile money.

Job Responsibilities:
  
         Coordinate daily Zanzibar accounting and financial functions including: timely scanning, recording transactions in excel logs, filing of transactions; banking and cash management.
         Ensure adherence to D-tree financial and HR policies/procedures
         Manage corporate mobile money accounts, including monitoring the balance , managing online tracking systems, and initiating and verifying  transactions.  
         Liaise between mobile companies and project staff to ensure smooth operations and regular reporting, assisting field and office staff in troubleshooting account issues as needed.
         Plan and monitor Zanzibar cash flow requirements in conjunction with the Program Manager and Finance Officer in Dar es Salaam. 
         Ensure timely completion of monthly transaction logs and appropriate backup to support monthly close by Finance Office in Dar es Salaam and Headquarters in the US.  
         Maintain physical and electronic inventory of supplies and equipment.  
         Coordinate general office operations under the direction of the program manager e.g. supply and equipment purchasing, office maintenance etc.
         Support monitoring of program activities and communicate with Community Health Workers, as needed
         Maintain proper records for electronic and physical filing system (vendors, inventory, consultant contracts etc.)
         Assist in setting up phones for use by Health Workers, including installation of mobile applications and activation of phone settings
         Other tasks as assigned by Program Manager, Dar es Salaam Finance Officer and/or Country Director

Required Skills and Experience

         Bachelor degree preferred, At least 3 years in a similar position; previous office experience in a non-profit required
         Extremely detail oriented to ensure accuracy
         Excellent communication skills, Proficiency in spoken and written English and Kiswahili
         Proficiency with Microsoft Word and Excel
         Able to manage multiple tasks simultaneously and prioritize appropriately
         Strong work ethic; efficient, courteous and professional manner 
         Experience managing funds from the USG (USAID) preferred
