SUMMARY:
Our Client is seeking an
experienced ARCHIVE MANAGER responsible for managing and controlling the
Central Archive & Branch/Departmental records. This position is based in Dar es Salaam,
Tanzania and is open to Tanzanian Nationals.
RESPONSIBILITIES:
DEPARTMENTAL | MANAGERIAL:
§ Managing
and controlling the Central Archive and Branch/Departments records.
§ Managing
the incoming documents from Branches and Departments into the Central Archive.
§ Managing
the outward documents to users on request from the Central Archive.
§ Arranging
the documents in the archive Branch, Department and age-wise. § Maintenance
of registers both for the incoming and out- going documents.
§ Ensuring
physical security of the Archive.
§ Maintaining
the house keeping/cleanliness of the archive and keep the archive neat.
§ Ensure
alarms are tested frequently and any discrepancies reported immediately.
§ Issuance
of documents to the users whenever requested.
§ Design
document tracking system and arrange for automating the entire records
management in the Bank including retrieval and destruction as per the existing
regulations.
§ Issue
Reports to Ops Management on daily/Weekly/ monthly basis.
§ To
arrive at the RCSAs for the archive and suggest the mitigations of the same.
§ Liaise
and cooperate with other Department Heads to obtain the best financial and
commercial results for the Bank.
§ Develop
and maintain procedures and work instructions.
§ Internalize
and live the values, norms and behavioral codes of the Bank.

for completing the goals set by the management
§ Provide
the Managing Board on a regular basis with relevant information pertaining to

Relevant Degree, along with professional work experience in
record-keeping, archiving, material storage environment.

Certified records management professional.

B. PROFESSIONAL EXPERIENCE
|
§
|
At least 2 years of progressive experience, preferably in
commercial bank/financial institution sectors.
|
|
§
|
Knowledge of document & material management.
|
|
§
|
Proven ability
to code, archive/store, track, monitor and retrieve relevant records.
|
|
§
|
Knowledge of banking products, terminology and operations.
|
|
§
|
Strong professional and clear communication skills along
with ability to build strong departmental relationships. demonstrated ability
to get buy-in and influence decisions;
|
|
§
|
Demonstrated
technological competence, including the ability to research, enetworking,
understand, capitalize upon and enhance information systems. Strong computer skills in MS Office Suite with advanced Word/Excel
skills, and relevant accounting/financial software;
