VACANCY ANNOUNCEMENT FOR OPERATIONS ASSISTANT

The Food and Agricultural Organization 01 the, United Nations (FAO) is seeking for suitably qualified and experienced Operations Assistant to' work under Project OSRO/GLO/S07/USA- Emerging Pandemic Threats Programme (PT2), General Description of task(s) and objectives to be achieved:

Within the framework of the Food and Agriculture Organization of the United Nations (FAO) Emergency Center for Trans boundary. Animal Diseases (ECTAD), under the overall administrative and functional supervision of the FAO Representative in Tanzania, the direct, supervision of the Team Leader of FAO-ECTAD Tanzania and in close collaboration with the programme and administration staff in FAO Tanzania, the incumbent will:

• Assist the Team Leader in the smooth operational, logistic and financial implementation of programme activities;
• Execute day-to-day work of the administration, finance and procurement/logistics of the program;
• Assist in the procurement of programme inputs by preparing purchase requisition and tracking of its procurement;
• Assist to maintain an asset register (expendable and non-expendables) and ensure that assets are properly registered, insured used, maintained and safeguarded;
• Review and certify all administrative and financial \ documentation for accuracy, appropriateness, correctness and compliance with FAO rules and regulations;
• Assist in organizing travel (local and international) i.e, : preparation of TA requests and submission of travel claims; Prepare administrative and financial documents such as , purchase requisitions and orders, payment requests, letters of agreement, contracts etc;
• Ensure timely payments of vendor services and maintain records of these disbursements/commitments;
• Assist the organization of workshops, meetings and training colours including booking of hosting facilities/venues, travel, , transportation;
• Undertake monitoring actions related to recruitment and payment of consultants, contractors,' and implementing partners in financial, and procurement matters;
• Prepare financial monitoring reports, and assist in preparation, review and finalization of costed project work plans, interim and final financial reports;
• Maintain updated personnel records and other administrative office files related to the proqrarn;
• Consolidate monthly attendance sheets; maintain programme staff leave plans while updating the staff movement register;
• Draft and prepare routine correspondence of administrative and personnel related matters in close consultation with the CTL;
• Assist with recruitment 6f new personnel,' and to provide guidance to staff on matters related to staff recruitment, maintenance and separation;
• Assist in securing accreditation of internationally recruited staff; and provide guidance to national and international staff on protocol issues;
• Perform other duties as required.

Required Competencies (Qualifications and experience):
Academic Qualification:
• University degree in Business Administration, Finance or related subject
• 5 years' experience of UN Operations and Administrative Protocols
• Ability to plan work and deliver within deadlines without compromising FAO rules and standards
• Ability to work in a multicultural setting
• Team player
• Regional experience
• Computer literate
• Language requirement: Ability to communicate fluently and write clearly in English and Kiswahili

Duty station; Dar es Salaam, Tanzania
Duration; 1 year (Renewable)
Remuneration: Based on UN service contracts remuneration rates for Tanzania
